EMS (Evangelical Missiological Society) values your interest and involvement in this organization and the time you spend on our website. We are committed to informing you of how we use any information you share with us, and giving you choices about sharing it.

This statement explains EMS privacy practices for the website, www.emsweb.org, and for all sites that are part of the emsweb.org domain.

Why EMS collects member information

When you become a member of EMS or get involved in EMS activities on this website or elsewhere, EMS responds to your interest by offering to keep you informed about EMS resources, events, and programs. Email announcements are available to members and nonmembers.

You have the choice of whether or not to give us your information or receive EMS email announcements. If you choose to subscribe to these announcements, you have our commitment that they will be topical, timely and relevant to your interests. Furthermore, EMS will never sell or rent your information to another party, or use it in any way other than that described in this statement.

EMS members
If you are a member and you have supplied your email address, you will automatically receive EMS email announcements.  If you would prefer not to receive the email announcements, you can always opt out of receiving them by clicking the unsubscribe link at the bottom of the emails.

Nonmembers
If you are a nonmember, you can use most of the features of the site without supplying any personal information to EMS. If you would like to stay informed about EMS programs and activities, you can provide your name and email address and opt in to receiving EMS email announcements. If at any time you wish to stop receiving these emails, you can always opt out of receiving them by clicking the unsubscribe link at the bottom of the emails.

Website features requiring the submission of personal information

Submission of personal information to the EMS website is entirely voluntary, except in the case of members, for whom current names, mailing addresses, phone numbers, and email addresses must be on file. Most areas of the website may be used without supplying any personally identifiable information.

The following site features do require users to supply personal information:

Membership
When you join EMS, we request your name, address, phone and fax numbers, email address, job title, institution affiliation, EMS regional affiliation, and confirmation of agreement with the EMS doctrinal statement.  The information you supply is used to get an accurate picture of our membership as a whole and to provide you with the full benefits of membership, including publications, mailings and discounted registration for EMS events. After joining, you can update any of your information on the web at any time.

Financial Information
As part of the membership process, we also request financial information including your credit card number and expiration date.  We do this in order to process membership dues.  This information is used for billing purposes. If we have trouble processing an order, your contact information is used to get in touch with you.

Site status updates
If you wish to receive information about specific new features or services when they are added, we ask for contact information including your name and email address.

Surveys
From time to time we request information from users of the site via surveys. Participation in surveys is completely voluntary. Information requested may include contact information (such as name and email address), demographic information (such as zip code and age level), and professional information (such as skills, areas of expertise and subjects of interest). This information will not be released under any circumstances in a manner that will identify the respondent. Personally identifiable information is requested only for internal purposes (for example, to avoid asking for the same information more than once).

EMS Publication of Positions Open
At the discretion of the EMS President, EMS will publicize positions open for institutions identified with the evangelical community.  

If an institution wishes to post a position opening, we ask for information such as the job title, type of position, your institution’s city and state, and a job description that includes required skills and areas of expertise. This information is available to EMS members and nonmembers.  We also request that the announcement include contact information for the institution, including a specific contact name and address.  Institutions must confirm status of positions open every 6 months and/or inform EMS when the position no longer needs to be publicized.

Registration for EMS meetings
If you wish to register for an EMS conference or other event, we ask for contact information such as your name, institution affiliation, EMS regional affiliation, job title, telephone number, email address, and financial information including your credit card number and expiration date. Contact information is used to send you important messages regarding the activity or event for which you registered. Financial information is used for billing purposes and to fill your orders.

Subscribe to EMS email announcements
If you wish to receive timely information about EMS programs and events, you may subscribe to EMS email announcements. Announcement subjects include upcoming conferences, publications, and online forums.

Log files
EMS collects aggregate information in the form of log files recorded by the web server. This information includes how many visits we have had to our webpages, the IP address of the computer that person was using, and the address of the referring page.

We use this information to analyze trends, administer the site, track users’ movement through the site, and gather broad demographic information for aggregate use. None of this information is linked to personally identifiable information.

Use of cookies
A cookie is a piece of data stored on the user’s hard drive containing information about the user. The EMS website uses cookies for purposes of session state management, that is, to give users a persistent identity in the database while they submit forms and go through any multi-step processes. Once the user leaves the site, the session information is held for one day only and then purged from the database.

Ownership of information

EMS is the sole owner of the information collected on all areas of this site. EMS will not sell, share, or rent this information to others in ways different from those disclosed in this statement.

Correcting personal information

If you wish to correct, update or remove your personally identifiable information from our database, or if you no longer wish to receive communications from us, you can contact us using the general contact form. Or, if you are a member, you can update your information at any time by logging in.

Security

EMS takes every precaution to protect website users’ information. All of our users’ personally identifiable information is restricted. Only EMS officers who need the information to perform a specific job (for example, Regional Vice President) are granted access to personally identifiable information. Furthermore, all EMS officers are kept up-to-date on our security and privacy practices. Finally, the servers on which we store personally identifiable information are kept in a secure environment.

This website contains links to other sites. Please be aware that EMS is not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statement of any website that collects personally identifiable information. This privacy statement applies solely to information collected by this website.

Notification of changes

If we decide to change our privacy policy, we will post a notice of those changes on our homepage so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by email. Users will have a choice as to whether or not we use their information in this different manner. We will use information in accordance with the privacy policy under which the information was collected.
